Privacy Policy

How Brevard Ballet collects, uses, and safeguards the information you and your family provide through the studio portal.

This Privacy Policy explains how Brevard Ballet, operating Brevard Ballet Academy and Brevard Ballet Youth Company (together, "Brevard Ballet," "we," "us," or "our"), handles personal information collected through the studio portal at portal.brevardballet.com and related services (the "Portal"). Please read it alongside our Terms of Service. By creating an account or using the Portal, you acknowledge the practices described here.

The Portal is a studio-management tool for families, dancers, and staff. Accounts are created and managed by adults — parents or legal guardians who register on behalf of themselves and their dancers, and studio staff.

1. Information we collect

Information you provide

  • Guardian and account details — name, email address, phone number, mailing address, login credentials, and, if you sign in with Google, the basic profile information that service returns (name, email, and profile image).
  • Dancer profiles — a dancer's name, date of birth, age, gender, school, class level and enrollment history, attendance, and related notes. This information is provided by the registering parent or guardian, not collected from the dancer directly.
  • Health and emergency information — allergies, medications, medical conditions or notes, and emergency contacts you add so staff can care for a dancer safely.
  • Costume and fitting details — measurements and sizes used to order costumes and uniforms.
  • Payment information — invoices, tuition and fee records, billing plan and settlement method, and saved payment methods. Card and bank-account numbers are entered directly with our payment processor and are not stored on our servers (see "Payment processing" below).
  • Photos and media — dancer headshots and, where applicable, class, audition, or performance images you or the studio upload.
  • Agreements and e-signatures — the studio agreements you review and sign electronically, together with the typed name, date, and technical details (such as IP address and browser) recorded as proof of signature.
  • Communications — messages you send to the studio and your contact and delivery preferences.
  • Background-check information (volunteers and certain adults only) — if you volunteer, information needed to initiate a background screening through our provider. The screening itself is performed by that provider; we receive the status and result, not the underlying report data beyond what is necessary.

Information collected automatically

  • Device and log data — IP address, browser and device type, pages viewed, and timestamps, used to operate and secure the Portal.
  • Cookies and similar technologies — we use cookies that are necessary to sign you in and keep your session secure, and a bot-protection service on our sign-in and sign-up forms. We do not use the Portal to serve third-party advertising.

2. How we use information

  • Create and manage family, dancer, and staff accounts.
  • Process registrations and enrollments, class placement, waitlists, and attendance.
  • Bill and collect tuition and fees, process payments and refunds, and maintain financial records.
  • Communicate with you about your account, enrollments, schedules, payments, productions, and studio operations.
  • Care for dancers safely, including sharing relevant health and pickup information with authorized staff.
  • Provide, maintain, secure, and improve the Portal.
  • Comply with legal obligations and enforce our Terms of Service.

3. Children's privacy

The Portal is designed for parents, guardians, and studio staff — not for use by young children on their own. Information about a dancer who is a minor is provided to us by that dancer's parent or legal guardian in the course of enrolling and managing their participation with the studio.

We use information about minors only to provide studio services (such as enrollment, attendance, safety, costuming, and performances) and we do not sell it or use it for advertising. A parent or guardian may review the information we hold about their dancer, ask us to correct it, or request that we delete it, subject to records we are required to keep. To make a request, contact us using the details below. If you believe a child has provided us information without parental involvement, please contact us so we can address it.

4. How we share information

We do not sell your personal information. We share it only as described here:

  • Service providers. We use trusted vendors that process information on our behalf to run the Portal, under agreements that limit their use of it:
    • Supabase — database, authentication, and file storage hosting.
    • Stripe — payment processing and saved payment methods.
    • Resend — sending and receiving studio email.
    • Twilio — sending and receiving text messages.
    • Checkr — volunteer background screening (only for individuals who go through that process).
    • Google — optional "Sign in with Google" login.
    • Cloudflare — bot protection on our sign-in and sign-up forms.
  • Within your family account. Guardians linked to the same dancer can see that dancer's studio information; co-guardians may see shared family billing and enrollment details.
  • Legal and safety. When required by law, to respond to lawful requests, or to protect the rights, property, or safety of dancers, families, staff, or the public.
  • Business transfers. In connection with a merger, acquisition, or transfer of studio operations, subject to this Policy.
  • With your direction or consent. When you ask us to share information or otherwise agree to it.

5. Payment processing

Online payments are handled by Stripe. When you pay by card or bank transfer, your card or bank details are collected and processed by Stripe under its own terms and privacy policy; we receive confirmation and limited details (such as the payment status and the last four digits of a saved method) but not your full card or account number. We keep invoices, payment records, and receipts to administer your account.

6. Text messages and email

With your consent, we may send account, scheduling, billing, and studio updates by email and text message. Message and data rates may apply to text messages. You can opt out of non-essential texts at any time by replying STOP, or reply HELP for help; you can unsubscribe from marketing email using the link in those messages. We may still send essential account and transactional messages (for example, payment receipts or urgent studio notices) even if you opt out of marketing.

7. Data retention

We keep personal information for as long as your account is active and as needed to provide studio services, and afterward as required to meet legal, tax, accounting, and recordkeeping obligations or to resolve disputes. When information is no longer needed, we delete or de-identify it.

8. How we protect information

We use technical and organizational safeguards to protect personal information, including encryption of data in transit, role-based access controls, and database-level rules that limit each family to its own records and restrict staff access by role. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. Keep your password confidential and let us know promptly if you suspect unauthorized access to your account.

9. Your choices and rights

  • Access and correction. You can view and update much of your family's information directly in the Portal, or ask us to help.
  • Deletion. You may ask us to delete personal information, subject to records we must retain by law or for legitimate business needs.
  • Communications. You can adjust contact preferences and opt out of non-essential messages as described above.

To exercise any of these, contact us using the details below. We may need to verify your identity and your relationship to a dancer before acting on a request.

10. Where your information is handled

The Portal and our service providers store and process information in the United States. By using the Portal, you understand that your information will be handled there.

11. Third-party links

The Portal may link to sites or services we do not operate, including our public website and our payment processor. Their privacy practices are governed by their own policies, and we are not responsible for them.

12. Changes to this Policy

We may update this Policy from time to time. When we do, we will revise the effective date above and, for material changes, provide a more prominent notice. Your continued use of the Portal after an update means you accept the revised Policy.
